Hours: M-F, Flexible  

Job Duties

  • Assist with general correspondence
  • Prepare trip sheets and customs documents for the Aviation department for all private flight and coordinate travel arrangements
  • Prepare and track overnight packages
  • Maintain company files
  • Maintain contact database
  • Assist with events and holidays, tracking RSVP’S and attending/working events
  • Maintain office supplies/personal supplies, postage meter supplies
  • Ensure petty cash and credit card charges are reconciled
  • Verify weekly timesheets
  • Answer phones and direct appropriately
  • Maintain all subscriptions, renewals
  • Maintain conference room schedule
  • Maintain event calendar – birthdays, anniversaries and well as office phone list
  • Reconcile bills for payment


  • Minimum 5 years administrative/personal assistant experience
  • AA or BA preferred
  • Proficient in MS Office
  • Calendar management
  • Strong organizational skills
  • Ability to serve as “gatekeeper”
  • Professional and courteous demeanor
